DUTIES OF THE MEMBERSHIP COORDINATOR

Description of Duties for MEMBERSHIP COORDINATOR
Is selected and approached by the newly elected President and/or Nominating Committee to serve; or may volunteer for the position.
Is selected for a two-year term, which may be repeated any number of times.
Attends all scheduled meetings for the general membership; notifies the President or other responsible officer if unable to attend in order that duties can be delegated during absence.
Acts as a host toward all members, visitors, judges, and potential new members at all functions.
Provides coverage at any function, when asked, for any position left vacant by the temporary absence of another Board member.
Notifies Board if withdrawing from official position, allowing sufficient time and coverage for a
temporary replacement to be selected.
Clarifies expenses with the Treasurer or President prior to incurring. Submits detailed receipts
for reimbursement or arranges for prepayment.

As Membership Coordinator:
Prior to the new club season, updates and replenishes the supply of new member folders, member name badges, guest sign-in sheets, and membership applications.
Makes name badges at the start of the season and prepares badges as new members join.
Arrives 30 to 45 minutes early to meetings in order to set up the membership table near the meeting room entrance (sets out the badges, guest sign-in book, new member folders, handouts, etc.)
Monitors the membership table, greeting guests who enter and offering refreshments.
Invites guests to sign in upon arrival and checks that complete legible information has been provided on the sign-in sheet for follow-up contact.
At the end, collects all membership materials and returns them to the designated place in the storage cabinet.
